Azure Logic Apps Knowledge: helping staff find answers in your documents

8/2/26
9/9/26

The answer is in a document somewhere. Finding the right version before replying to a customer is the part that takes time. Microsoft’s built-in Knowledge preview for Azure Logic Apps, announced in June 2026, offers a way for AI workflows to retrieve relevant information from documents you provide.

It handles much of the work of preparing and searching those files, rather than requiring a separate custom search system. The business opportunity is making existing knowledge easier to use, not generating more documents for people to read.

Where it could help

Imagine a customer-service team checking a returns policy or a product specification before answering an enquiry. An AI workflow could retrieve the relevant material and help prepare a response for a person to review. The starting point would be the documents the business has approved, rather than general model knowledge.

That still depends on the source material. An out-of-date policy is not improved by finding it faster. Someone needs to own the document set, remove superseded versions and check whether the answers match what the business actually means.

What it means for you

Microsoft’s current documentation still identifies this as a preview. It supports uploaded files in formats such as Word, PDF and Excel, but the documented parsing is text-based, not image-based. Do not assume a scanned manual will be read like a text document.

The announcement describes two hosting options: Logic Apps Standard uses your own database and AI resources; the Automation option manages those resources on your behalf. That changes the cost and operational responsibility, so confirm the option available for your setup before budgeting.

Access and answer quality need their own checks. Signing into the service does not, by itself, establish which documents each person should be allowed to retrieve. The announcement lists retrieval-time access checks as planned work. Do not assume existing document permissions carry through automatically, or that an answer grounded in documents is necessarily correct.

A useful first trial is one contained task, using approved, non-sensitive documents and human review. Talk with us about a suitable workflow if your team is spending too much time hunting for answers it already has.
